When Digitaler Hub Region Bonn AG approached PIRATEx for their inaugural Startup Open Air 2025, they needed more than event logistics. The Challenge

Bonn’s startup ecosystem needed a flagship event, but the market was saturated with conferences following similar indoor, corporate formats. The Hub team had enthusiasm and local connections but lacked clarity on positioning, target audience, and what would make their event genuinely different.

The outdoor concept added operational complexity: comprehensive safety planning, weather contingencies, power distribution across open spaces, coordination with food trucks and exhibitors, plus managing setup and breakdown logistics that indoor venues typically handle. All while creating an experience that felt festival-like rather than corporate.

Our Approach

PIRATEx began with strategic foundation-building before touching any operational details. Our initial concept workshop addressed fundamental questions: goals, target audience, competitive positioning, and success metrics. This wasn’t about planning an event. It was about defining what Startup Open Air would represent in Germany’s startup ecosystem.

Comprehensive Project Management: PIRATEx managed the complete development process. We created detailed site plans integrating power distribution, safety requirements, and exhibitor needs. Our team handled vendor coordination, safety concept development, and regulatory compliance while maintaining regular strategic alignment sessions with the Hub team.

Operational Excellence: For the August 27 event, we coordinated complex outdoor logistics, including food truck management, tent installations, technical setups, and exhibitor briefings. Our on-site team managed setup, live coordination, and breakdown while ensuring the relaxed, festival atmosphere that differentiated Startup Open Air from traditional conferences.
